KEY ACCOUNTABILITIES (not all-inclusive, within delegated authority)

• Facilitate the issuance of permits, clearances, and other authorizations for incoming shipments and assets.

• Coordinate and process visa requests and residency permits for international staff, including invitation letters and follow-up with relevant authorities.

• Maintain and update a tracking system for visa and permit statuses, proactively initiating renewal actions.

• Coordinate with clearing agents and government offices to ensure smooth processing of customs documentation for WFP imports and staff belongings.

• Personally receive international staff at the airport and ensure briefing and safe transportation.

• Maintain accurate and up-to-date records of all protocol transactions, permits, and contacts.

• Liaise with counterparts at relevant ministries, including scheduling meetings, distributing agendas, and confirming logistics for high-level vis its.

• Arrange VIP lounge bookings for senior WFP officials and ensure timely submission of requests.

• Provide weekly and monthly updates to the supervisor and head of unit on ongoing and completed tasks.

• Record and manage correspondence with authorities and partners.

• Monitor relevant policy or legislative changes affecting WFP operations and advise the supervisor accordingly.

• Perform other administrative tasks, if required.

QUALIFICATIONS, EXPERIENCE AND SKILLS REQUIRED

Education: Completion of secondary school education OR University degree ( Diploma/Bachelors) in the related functional area is desirable.

Experience: At least four (4) years of progressively responsible experience in administrative, protocol, consular, or liaison work with government institutions, international organizations, or embassies, Or University Degree ( Diploma/Bachelors) with a minimum of two (2) or more years of relevant experience.

Language: Fluent knowledge (Proficiency/level C) of English and Somali language.

Knowledge & Skills:

• Good knowledge of protocol practices, visa/permit procedures, and administrative regulations in Somalia.

• Strong interpersonal skills with the ability to establish and maintain effective working relationships with officials.

• Ability to work under pressure, manage priorities and tight deadlines.

• High sense of responsibility, integrity, and confidentiality.

• Proficiency in MS Office (Word, Excel, Outlook);

• Strong organizational and record-keeping skills.
