JOB PURPOSE

This job is found in the WFP Ethiopia Jijiga and Gode Sub-office. Job holder report to a Warehouse Manger, Logistics Officer or the designate.
At this level, job holders demonstrate responsibility and initiative to respond independently to queries with only general guidance for all assistance modalities for both WFP and logistics common services. There is a requirement to use judgment in dealing with unforeseen problems on a daily basis. Job holders typically manage a small team, supervising and coaching staff.

Skills and Qualifications

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of the warehouse manager, and the overall supervision of the supply chain officer, shall perform the following duties:

 

  1. Thoroughly supervise the commodity receipt, dispatch and stacking practices and update the warehouse stack cards accordingly to ensure that the stack cards are updates with the proper remarks with each cargo incoming or outgoing from the warehouse. Ensure proper commodity stacking according to the batch (SI) number

  2. To perform regular commodity quality checks in the warehouse and identify immediately the needs for the cleaning, commodity segregation and fumigation practices in the warehouse to maintain the quality and fitness of the WFP food.

  3. To receive the loading and loading orders from the storekeepers and act on accordingly. To submit back the confirmed loading and offloading orders to the storekeepers in conformity with the “real-time” commodity tracking principle.

  4. To monitor the diligent commodity inspection actions including meticulous physical counts, random weight checks and the identification of the spoiled or damaged cargo.

  5. Submit to the storekeeper commodity loading and unloading orders after the completion of the commodity receipt and dispatch and to record the appropriate confirmations in the WFP commodity tracking system (LESS) immediately.

  6. To ensure that the damaged cargo is identified, segregated, reconstituted, and indicated properly in the reconstitution reports. To report any commodity incident (damage, leakage, improper stacking) immediately to the warehouse manager.

  7. To recognize and identify any discrepancies observed between the actual physical count and the data indicated in the official documents and inform the storekeeper accordingly.

  8. To identify timely any needs for warehouse equipment, fumigation materials or repairs and report them to the warehouse manager. To ensure proper handling of the WFP equipment (stitching machines, weighing scales, pallets etc)

  9. To assist in the bag marking project in conformity with the WFP commodity tracking procedures.

  10. Provide multi-purpose support for WFP cash and voucher programs. This includes but not limited to: establish and update the shortlist of food retailers, inspect the quality and the quantity of the food stock supplied by the retailers, establish the allocation of the coupons per retailer and site for each planned distribution, monitoring the prices of the food assistance compared with the general level of prices in the market among other tasks.

  11. Maintain proper filing systems and archiving of documents so that they can be retrieved promptly and efficiently when required.

  12. Perform additional  tasks as required.

STANDARD MINIMUM QUALIFICATIONS

 

Education:    Completion of secondary school education.

Experience:  3 years of experience in general administration. 
Language:    Fluency in both oral and written English Language and Somali Language is mandatory.
