Headquartered in London, the Foundation has an operational Head Office in Nairobi, Kenya with country offices in Ethiopia (Addis Ababa and Assosa), Somaliland (Hargeisa) and Rwanda (Kigali) with further expansion plans in East Africa.

Position Summary

We are looking for a dedicated and professional Inventory Assistant to join our team. This Inventory Assistant is responsible for planning and providing store/warehouse services, receiving and storing the organization’s assets, leading the distribution process, and reporting providing inventory accuracy at all warehouse facilities in Hargeisa, and all Somaliland storage facilities in line with foundation policies and procedures.

The Ideal candidate should have great organizational skills and one whom thrives under pressure. This candidate will be the primary contact for all inventory within the organization and will be liaising with all functions and departments in ensuring all items are recorded and disseminated appropriately.

The candidate must be fluent in English and must be able to produce well-written pieces in both languages. He or she must be able to write professionally in Somali.

Key Duties and Responsibilities

Supervisory Responsibilities:

The supervision of the flow of all items/products including inbound consignment receipts, and outbound consignments, and maintaining control of all on-site inventory.

The supervision and conrol of the incoming receipts of goods including cycle counts to promote accuracy and compliance with the organization’s policies and procedures.

Ensuring that all stocks and assets are properly loaded/recorded into stores/warehouse management systems, and accurately fulfilled.

Coordinating with the other program Departments on out-of-stocks to assess replacement and/ or provide the necessary information and reports on a timely manner to the Admin and Logistics Manager.

Coordinating disposal of unserviceable, obsolete, obsolescent, or surplus stores, equipment, or, assets.

Operational Responsibilities / Tasks:

Working closely with Procurement, Admin, and Logistics Departments as well as Transport divisions/transporters to plan order fulfillment.

Monitoring shipment/order picking and delivery to ensure that work is on-schedule. Work to resolve issues/ errors to ensure on-time and accurate fulfillment.

Driving continuous Improvement by identifying wastes/ inefficiencies/ errors, assessing root causes, and working cross-functionally to address the issues.

Conducting daily analysis, identifying essential issues, assessing root causes, and resolving problems with inventory, short-dated products, or damaged inventories.

Ensuring order tracking information is sent to the correct parties, as needed. Verifying the accuracy of the inventory records.

Responsibility for physical assets around the area of work: Support and safeguard inventory stores

The job holder will be required to solve the following type of problems:

The job solves warehousing-related problems affecting the in-flow and out-flow of inventories. Resolve issues of obsolete inventory or damaged inventories.

Addressing wastes, inefficiencies, and errors in the warehousing management processes and systems. Inadequate skills in the shipment/cargo management systems of warehousing-related goods.

Communication

The job holder will need to understand the following information to discharge their mandate:

Detailed verbal and written instructions or requests to and from line departments.

Written internal policy documents, procedures, laws, and regulations in the organization Warehousing trends, technologies, and reports affecting the humanitarian sectors.

Detailed verbal or written instructions or requests to employees of the institution or contractors.

Decision Making/ Job Influence:

Provide advice to the on emerging warehousing trends, platforms, and systems. Initiate linkages, collaborations, and interactions with various suppliers, Service

 

Skills and Qualifications

Bachelors’ Degree in Procurement, Management, Business Administration, Finance, and Commerce, Accounting or any closely related field.

Minimum of 4 years of relevant experience of which 3 are international organizations/foundations, big companies.

Knowledge and demonstrated experience in the use of Microsoft 365

Full and up‐to‐date computer literacy and knowledge of procurement information management Proven negotiation and communication skills.

Demonstrated writing, presentation, and report writing skills.
