Job Title:  Human Resource Assistant

Location: Hudur

Direct Supervisor: Project Officer Bakol

Technical Supervisor: HR Officer Bay

POSITION SUMMARY

The employee is expected to provide a high standard of promoting Human Resources, thereby contributing to a safe, Environments to SOS staff in Hudur The employee will also provide assistance to the Hr Officer in Bay Region and where appropriate, recognising that the effective management of the staffs depends on effective communication and participation of all members of the team.

KEY ROLES AND RESPONSIBILITIES

The HR Assistant provides quality HR compliance and administrative support to The HR Team and co-worker. The HR Assistant is responsible for maintaining personnel files, delivering effective HR result. Assist the Human Resources department in ensuring the delivery of quality, efficient and proactive HR support services to the Somalia Program.

  • Support recruitment exercises by setting and organizing interviews appointments, interview folders, and sending, calling candidates and out regret letters.

  • Prepare in coordination with hiring managers a 2 days induction schedules prior to the starting date of the new staff, share it and do office introduction on the start date.

  • Preparing employment contracts and signing the candidates.

  • Closely working with HR Officer on matters in HR

  • Request email creation to IT team

  • Liaison Admin and Logistics for ID card processes

  • Filing employees life cycle documentation right from recruitment including CVs, employee certificates, employees personal information, performance management forms, exit interview and leaver ,

  • Support Hudur staff leave management, prepare monthly report.

  • Assistance with quality control: Daily checking all missing recruitment documents in professional history/reference checks and etc.

  • Facilitation signing documents from field office.

  • Preparing and make ready for  Audits documents

  • Facilitate advertisement payment

  • Filling time sheet for National office and field level.

  • Do HR printings and scanning

  • Update HIRS system information and do track any action require attention.

  • Perform any other duties requested HR Coordinator /officer

 

Skills and Qualifications

  • Minimum Diploma of qualification in Human Resource, Business Administration from a recognized university.

  • At least one year’s relevant experience in HR within a busy international organization

  • Computer skills especially in Ms Excel, spread sheets, Ms Word.

  • High level of integrity and ability to work as part of a professional team

  • Ability and willingness to work under high pressure to meet tight deadlines

  • Good communication and interpersonal skills

  • Supportive personnel management style

  • Good command of English both written and spoken

  • Willingness to work in odd hours, go extra mile and travel in often difficult and insecure environments;
